Step 4: Build a response team

Once you’ve determined effective measures for each potential crisis, go through the plan with relevant stakeholders. Staff, volunteers, key contractors or providers, relevant partner organisations, village chiefs or village development committees can help to provide insight into potential hurdles and available resources. Involve your Board in the plan as well, to make sure you have their full support.

Identify your response team. Clarify by position, not by a person’s name, who is authorised to take what action in the event of each type of crisis. The format below is very helpful for quick reference. Examples of tasks include:

  • Who is the organisation’s spokesperson on this matter (to respond to members, media, etc.)? See also the toolkit on a Crisis Communication Plan
  • Who will determine what support is needed for those directly impacted (e.g. trauma counselling, compensation etc.)
  • List all the contact information, including private phone numbers and email addresses for each of the persons currently occupying the positions listed.
